About this checker

What this checker verifies

Inside the G703: each line’s Column G against D + E + F, each printed column total against its rows, and each line against its scheduled value. Between the forms: Line 4 against the Column G total. Inside the G702: Lines 3, 5, 6, 8 and 9 against the lines they come from, and 5a and 5b against the retainage rate. The figures go to the same engine PayAppCheck runs on uploaded pay apps. A typed 0 is checked; a blank box is skipped.

Building your pay app

Fill in your company, the project and the application number, then download a PDF or a formula-linked Excel file. Start next month carries each line’s D + E into next month’s Column D and this Line 6 into next month’s Line 7. This browser remembers your pay app; with a free account it is saved to the account too, so next month works on any computer. Signed in, a new job can start from the PDF or Excel you sent last month: every line is read and carried forward. When the pay app is ready, Send to your GC emails it with a link that shows the figures tie and the state lien waiver attached if you made one, and the job can email you on its billing day. A filled sample and a blank printable PDF are in the fillable G702/G703 form guide.

What to do when a check fails

Start at the top: one wrong Column G moves Lines 4, 6, 8 and 9 with it. Red is arithmetic that does not tie. Amber is a reading to confirm against the change order log or the retainage clause. Send the finding back as written and have the sender reissue. The causes, in the order they turn up, are in when the G703 does not match the G702.

Questions people ask

Is it free?

Yes. No account needed and no limit on line items. A free account saves your pay app so next month starts from it on any computer.

What can it not check?

Anything that needs another document: last month’s pay app, the change order log, the contract, the lien waiver. Those run in PayAppCheck, where prior pay apps are on file. How to review a pay application covers the rest.

Can it read a PDF instead?

Not on this page. Upload the PDF to PayAppCheck and every line is read for you. The free G702 and G703 Excel template lays the figures out the way this page expects.

More detail

A pay application states the same money more than once, and that redundancy is what makes it checkable. Every pair above is two figures for the same money, printed in two places, so they can disagree. Nothing on this page is worked out and then checked against itself: the boxes hold what the document states, the column beside them holds what the arithmetic requires, and only what you typed is sent.

Red and amber are different claims. Red is arithmetic: two figures restate the same money and disagree, and no explanation reconciles them. Amber is a reading: a line billed past its scheduled value, or 5a and 5b measured against the rate you entered. Either can be correct on a correct document, so an amber sends you to the change order log or the retainage clause before it sends you to the subcontractor.

If Column G is higher than D + E + F, ask which column the extra work belongs in. If every row ties and the printed total does not, the total was overwritten after the lines were last added. If Line 4 disagrees with the Column G total, the two pages come from different revisions of the same application. Correcting somebody else’s certificate for them is how a disputed payment starts, so ask for a reissue.

The stationery does not matter. This reads the column and line structure, so accounting software output, a subcontractor’s own spreadsheet and the licensed forms all check the same way. No arithmetic settles whether the work billed was done; that takes a site visit and the backup behind Column F.
