A pay application carries the same money twice, and that redundancy is the only reason the document can be checked at all. The column totals restate the rows. Line 3 restates Lines 1 and 2, Line 4 restates the sum of Column G, and Lines 6, 8 and 9 restate Line 4 against the retainage and the previous certificates. Every one of those is a figure the document prints separately from the figures it is built out of, so it can disagree, and this page runs them all: the printed column totals against the rows above them, Column C against Line 3, Column G against Line 4, Line 3 as Line 1 plus Line 2, Line 5 as 5a plus 5b, Line 6 as Line 4 minus Line 5, Line 8 as Line 6 minus Line 7, Line 9 as Line 3 minus Line 6, and Lines 5a and 5b against the retainage rate and the two different bases they are drawn from. It also reads each line for billing past the scheduled value, for a negative this-period figure with no deduct change order behind it, for a gap in the item numbering, and for retainage still held on an application that has billed the contract to 100%.
The per-row identities are the ones that are not checks here. G equals D plus E plus F, H is G over C, and I is C minus G, and this page computes all three down the grid from the four columns you type, which is the addition a reviewer would otherwise do by hand. Computed that way they hold on every set of figures the page will ever accept, so they can never disagree with what you entered. What the document prints in Column G, H or I is never typed in, so a printed Column G that does not equal D plus E plus F is invisible from here. That one needs the document itself read, which is the upload route.
Two of them reach back a month. Line 7 is captioned Line 6 from prior Certificate on the form, and Column D is captioned From Previous Application, so both are figures the last application printed. Type those two off last month’s certificate and this page ties them to this one: a payment certified and never carried forward, or a schedule quietly restated between applications, both show up as a named difference rather than as a feeling that the numbers moved.
The tolerance is the same one the reconciliation engine uses: $1.00 on any single figure, for the AIA convention of stating money to the nearest dollar, and an accumulated $0.50 per line item on anything compared against a sum. A 40 line schedule rounded to whole dollars can drift twenty dollars across a column with nothing actually wrong, so a flat dollar there would flag honest documents every month.
What it cannot do from typed figures, stated plainly. The two summary ties above are as far back as one figure each will reach: matching last month line by line needs the prior schedule in full, so front-loading spread across twenty line items, or a scope moved from one item to another between applications, stays invisible while the two totals still agree. It cannot compare the document to your own records either, so a Line 2 padded with change orders you never approved passes every check on this page, and it cannot read the lien waiver in the packet. Those need the contract, the waiver, or both applications read in full, which is what the upload path does.
A blank workbook computes its own cells. That is exactly what you want when you are the one filling it in, and it is why the free G702/G703 Excel template exists. It proves nothing about a document somebody else produced, because its formulas only ever see the figures you retyped, and a formula cannot disagree with itself.
Checking needs two independent figures for the same money: what the document prints, and what the arithmetic requires. That is why the printed total line and the printed Lines 3, 4, 6, 8 and 9 are separate inputs here rather than derived. Leave one blank and the page says the check was not run instead of showing a green tick it did not earn.
Red and amber are not the same finding. Red is arithmetic: two figures on the document restate the same money and they disagree, and no explanation makes them agree. Amber is a reading: a line billed past its scheduled value, a gap in the item numbering, a credit this period, retainage still held on a fully billed contract, or 5a and 5b against the rate you typed. Each of those can be correct on a document that is correct, so an amber asks you to check the change order log, the continuation pages or the retainage clause before you send anything back. Bouncing a pay application over an amber is how a reviewer stops being believed on the reds.
Start with the cell this page names. When one column total disagrees with its rows and the cross-form tie is off by the same amount, the difference is a single figure in the schedule rather than a problem with the certificate, and a transposed digit gives itself away: the value that makes everything tie has the same digits in a different order. Before naming anything, this page applies the correction and re-runs every check, so a cell is only named when the repair actually clears the flagged checks and creates no new ones. When more than one cell clears them, it says how many and lists the candidates, because choosing between them would be a claim about the document that the arithmetic does not make.
When nothing is named, work the checks from the top, because they cascade. Line 6 depends on Lines 4 and 5, and Lines 8 and 9 both depend on Line 6, so one wrong figure high up flags three lines underneath it and only the first one is real. Send the subcontractor the line number and the figure and have them reissue. Correcting somebody else’s certificate for them is how a disputed payment starts.
